Privacy Statement

This policy sets out how we collect, use, protect and share your personal information. It incorporates the requirements set out in the Privacy Act 2020. The Privacy Act is supervised by the Office of the Privacy Commissioner.

We only collect personal information on this website when you volunteer your details. We will tell you why we are asking for your information when we ask.

When any online services are provided which involve visitors sending personal financial information to this website and subsidiary websites, a secure transmission method will be used.
All WREMO staff who have access to, and are associated with, the processing of personal data, are obliged to respect the confidentiality of our visitors' personal data.

What this statement covers
The Wellington Region Emergency Management Office (WREMO) has created this privacy statement to explain how we deal with your personal information collected for WREMO Social Media Competitions.
What personal information do we collect and for what purpose?
WREMO will collect entrants’ social media name and entries to enable it to determine the winner of each Competition, who WREMO will contact by direct message on Facebook or Instagram.
WREMO will then collect name and physical address where the winner wants it to deliver the prize, or name if the winner wishes to pick up the prize.
If the requested information is not provided, we cannot award or deliver the prize.

Social Media Terms of Use
This section contains community guidelines for Wellington Region Emergency Management Office social channels.
The guidelines are built on the concept of mutual respect between all users of Wellington Region Emergency Management Officen social media channels. The guidelines also state the disclaimer, copyright and conditions of use for Wellington Region Emergency Management Office's social media accounts (Facebook, X (formerly Twitter), Instagram, LinkedIn, TikTok and YouTube).
EMERGENCY INFORMATION AND WARNINGS will ONLY be provided on Facebook and X (formerly Twitter). No other Wellington Region Emergency Management Office social channel will be used for warnings or updates during an emergency event.

Wellington Region Emergency Management Office's communications team manages Wellington Region Emergency Management Office channels.
Our social media channels create a space where community members can have informed and engaged discussions, connect with others, and share dialogue.
The purpose of our social channels is to:
- Share information on how to prepare for, respond to and recover from emergencies;
- Share the latest news, updates, and event information;
- Share emergency information and warnings;
- Build a resilient, connected and capable community of people who care about the region.

COMMUNITY GUIDELINES
Be respectful of others. We welcome questions, comments, constructive feedback, and differing opinions, where respect is shown to other users and administrators of the platforms. We do not accept racist, sexist, homophobic, offensive, defamatory, threatening, harassing, overtly sexual, discriminatory, or hateful comments or messages.
Keep posts relevant to Wellington Region Emergency Management Office pages and topics.
Protect personal information. Never post comments containing personal, identifying, or confidential information.
Do not spam. No repeated comments, posts or unsolicited ads. No multiple or repetitive posts by a single user or repetitive posts copied and pasted or duplicated by single or multiple users.
No electioneering. The Wellington Region Emergency Management Office social media pages must not be used for electioneering purposes. Any post – positive or negative – made by any individual specifically relating to their own or someone else's nomination, intention to run for Council or any election campaign will be removed immediately.
Wellington Region Emergency Management Office reserves the right to:
- Determine what constitutes inappropriate content.
- Hide or entirely remove inappropriate content.
- Ban users from its social media communities for going against our social media Terms of Use.
Resharing, mentions and third-party content
We may choose to reshare, mention, post or share information from other organisations or individuals for the interest and information of our followers. WREMO Social Media Competition Terms and Conditions
WREMO Social Media Competitions - Competition Rules
1. ACCEPTANCE
1.1 The Competition: This Competition is run by WREMO in accordance with these Competition Rules.
1.2 Minors: Persons under the age of 18 are not able to participate in the Competition.
1.3 Deemed acceptance: When a person submits an Entry, they are deemed to have accepted these Competition Rules.
2. ENTRY PROCESS
2.1 The Entry: On or before the Entry Deadline for each competition, a Participant must, comment on the Competition Post as follows:
a) Correctly answering the question posed in the Competition Post; or
b) Where the Competition Post does not pose a question, post a comment in response to the instruction on the Competition Post that relates to the theme detailed in the Competition Post.
2.2 Source of comment: A Participant must post their comment using their own Facebook or Instagram account.
2.3 One entry only: A Participant may only complete one Entry.
2.4 Validity: Only Entries that comply with clauses 2.1 and 2.2 and are not otherwise a Disqualified Participant will be considered valid Entries.
2.5 Verification: We may verify the validity of the Winning Entry in accordance with clause 4.5.2.
Disqualified participants: Disqualified Participants may not enter the Competition.
3. ENTRY DEADLINE
3.1 Competition Period: The Competition will start when the Competition Post is uploaded to the WREMO Facebook and/or Instagram page. The Competition Period will end on the End Date.
3.2 Deadline: All Entries must be submitted no later than 5pm on the End Date.
4. WINNING THE PRIZES
4.1 The Winners: The Winning Participant(s) of the Competition will be selected by WREMO as set out in these Competition Rules. WREMO’s determination is final, and no correspondence will be entered into.
4.2 The Draw: Entry from all the valid Entries received by the Entry Deadline as follows (a Winning Entry).
4.3 Prize: The Participant that submitted a Winning Entry (a Winning Participant) will receive a Prize.
4.4 Contact: The WREMO Facebook and/or Instagram account will comment on the Winning Participant’s comment advising them:
a) That they have won a Prize
b) How to contact us to claim their Prize.
4.5 Claim a Prize:
4.5.1 A Winning Participant must contact us in the specified way within one week after the contact specified at clause 4.4. (Claim Deadline) to claim their Prize and to arrange for its collection or delivery.
4.5.2 To verify the Winning Entry, we will request some information from the Winning Participant. The requested information will include confirmation of the Winner Participant’s name, that the Facebook and/or Instagram account used to submit the Winning Entry is theirs, that they reside in the Wellington region, whether they are over 18 years of age, and if they would like the prize delivered, a physical address for delivery of a Prize.
4.6 Redraw: If the Winning Participant does not contact us within one week of the contact specified at clause 4.4., we will re-draw another Winning Entry.
4.7 Pick up/Delivery: The Winning Participant may elect to pick up the prize from a location arranged with us, or have the Prize delivered. If the Winning Participant would like the prize to be delivered, the physical address for delivery must be within the Wellington region.
4.8 Confirmation of acceptance:
4.8.1 Prior to releasing the Prize, we may request written confirmation of the acceptance of these Competition Rules from the Winning Participant
4.8.2 If written confirmation is not provided after such as request, the Prize will be forfeit and we will undertake a redraw.
4.9 No transfer: The Prize cannot be transferred, exchanged or redeemed for cash.
4.10 Unavailability: If a Prize is unavailable for whatever reason, we may substitute a prize of an equivalent value.
5. PRIVACY
5.1 Permission: By submitting an Entry, you warrant to us that you have obtained all relevant permissions to enter this Competition.
5.2 Purpose: We may collect, store and use Personal Information provided with or within an Entry, or in connection with the Competition, as set out in (and in accordance with) the Competition’s privacy statement.
6. GENERAL
6.1 Associated terms: You accept the Prize subject to any associated terms and conditions of use.
6.2 Change: We may suspend, amend, vary, extend or discontinue this Competition at any stage for any reason. Any such action will be notified on the WREMO Facebook and WREMO Instagram Pages.
6.3 Disqualification: We may, in our sole discretion:
6.3.1 Disqualify any Entry that:
a) Is not made in accordance with these Competition Rules;
b) We consider to be unsolicited electronic communications and/or advertising;
c) We reasonably consider breaches any law; or
d) We reasonably consider is otherwise inappropriate;
6.3.2 Refuse to award the Prize to a Winning Participant where:
a) They have failed or refused to provide written confirmation under clause 4.8;
b) We consider that they or any other person who has entered on their behalf has violated the Competition Rules in any way, gained unfair advantage in participating in the Competition or has won using fraudulent means.
6.4 Governing Law: These Competition Rules shall be governed by the laws of New Zealand and subject to the non-exclusive jurisdiction of the courts of New Zealand.
6.5 Late or Invalid Entries: WREMO takes no responsibility for any inability to enter, complete, continue or conclude the Competition due to incorrect contact details, invalid, unclear or illegible Entries, equipment or technical malfunctions, Force Majeure or otherwise.
6.6 No Liability: Subject to any applicable laws which cannot be excluded, WREMO its employees and agents will not be liable for any loss, damage or injury of any nature incurred or suffered by any person (including but not limited to indirect or consequential loss or loss arising from negligence) arising directly or indirectly from or in connection with, this Competition or with winning, redeeming or benefiting from a Prize.
6.7 No Waiver: Failure by WREMO to enforce any of its rights at any stage does not constitute a waiver of those rights.
6.8 Facebook and Instagram:
a) In entering or participating in this Competition the Participant will be using Facebook and/or Instagram.
b) The Competition is not sponsored, endorsed, administered, or associated, with Facebook and/or Instagram.
c) Greater Wellington does not sponsor, endorse, administer, or associate with Facebook and/or Instagram.
d) Greater Wellington will comply with all its obligations to the Participant in relation to the use of Facebook and/or Instagram.
e) The Participant is, however, solely responsible for ensuring that they are aware of and comply with their obligations in relation to Facebook and/or Instagram. The Participant should review Facebook and Instagram’s terms and conditions.

7. DEFINITIONS
Competition: WREMO social media Competitions are designed to incentivise participants to learn more about emergency preparedness.
Competition Post: The original post and caption on the WREMO Facebook and/or Instagram page that sets out the following:
a) the competition entry instruction and theme, or the competition question to be answered,
b) the Prize to be won,
c) the Competition Period,
d) the end date for an Entry.
Disqualified Participant: WREMO personnel (including contractors), their Immediate Family any person under 18 years old, and any person living outside the Wellington Region.
End Date means the date specified as the end date of the Competition in the Competition Post.
Entry has the meaning given in clause 2.1.
Force Majeure means an event or circumstance which is beyond a party or parties’ reasonable control and not reasonably foreseeable when entering this Competition, or any other cause beyond the affected party’s reasonable control.
Immediate Family: Spouses, grandparents, parents, children, and grandchildren, whether by marriage, past marriages, remarriage, adoption, co-habitation or other family extension.
Personal Information: Any information about an identifiable person collected by or on behalf of WREMO and includes, without limitation, name, age, email address, physical address, phone number, and (if needed) written confirmation of acceptance of these Competition Rules from the Winning Participant (which shall include that person’s name).
Participant: Any person submitting the Entry excluding Disqualified Participants.
Prize: The prize or prizes as specified in the Competition Post.
WREMO, we, us or our: means the Wellington Region Emergency Management Office. WREMO is administered by the Wellington Regional Council and is a semi-autonomous organisation that co-ordinates Civil Defence Emergency Management services on behalf of the nine councils in the Wellington Region, in accordance the Local Government Act 2002, with its physical address at 2 Turnbull Street, Thorndon, Wellington.

Competition at a specific community event – your name and email address or phone number to select a winner and contact that winner to advise them and then obtain a physical address to deliver the prize.

Ask to be contacted about a workshop or emergency response practice in the area - your name, email address, and suburb.
Without the requested information, you cannot win a prize, receive a newsletter, or be contacted about a workshop or emergency response practice.

WREMO Community Events Competition Terms and Conditions and Rules
1. ACCEPTANCE
1.1 The Competition: This Competition is run by the Wellington Region Emergency Management Office (WREMO), administered by Greater Wellington Regional Council (Greater Wellington), in accordance with these Competition Rules.
1.2 Minors: Persons under the age of 18 are not able to participate in the Competition.
1.3 Residents: Entries only allowed from people resident in the Wellington Region.
1.4 Deemed acceptance: When a person submits an Entry, they are deemed to have accepted these Competition Rules.
2. ENTRY PROCESS
2.1 The Entry: On or before the Entry Deadline, a Participant must submit their first and last names and email address or phone number on an entry form (an Entry) at the WREMO stall of the specific community event.
2.2 One entry only: A Participant may only complete one Entry for a specific community event and may only win one Prize.
2.3 Validity: Only Entries that comply with clause 2.1 and are not otherwise disqualified under clause 6.3 will be considered valid Entries.
2.4 Verification: We may verify the validity of the Winning Entry including confirming the Winning Participant’s name and age.
2.5 Disqualified participants: Disqualified Participants may not enter the Competition.
3. COMPETITION PERIOD
3.1 Competition period: The Competition will start on the opening of a WREMO stall at the specific community event and end at closing time of the WREMO stall at the specific community event (the Competition Period).
4. WINNING THE PRIZES
4.1 The Winner: The winner of the Competition will be selected by us as set out in these Competition Rules. Our determination is final, and no correspondence will be entered into.
4.2 The Draw: On the next working day following the specific community event, we will select one Entry at random from all the valid Entries received during the Competition Period (each a Winning Entry).
4.3 Prizes: The Participant that submitted a Winning Entry (each a Winning Participant) will receive one of the Prizes.
4.4 Contact: Using the email address, or phone number provided with the Entry, we will contact each winning Participant to advise them of the win and may request a physical address to which we will deliver the Prize.
4.5 Redraw: If after three attempts we are unable to contact the winning Participant or they do not respond within one week of the first contact, we will re-draw another Winning Entry.
4.6 Pick up/Delivery: We will deliver the Prize talk to the physical address provided by the Winning Participant.
4.7 Confirmation of acceptance:
4.7.1 Prior to releasing the Prize, we may request written confirmation of the acceptance of these Competition Rules from the Winning Participant.
4.7.2 If written confirmation is not provided after such as request, the Prize will be forfeit and we will undertake a redraw.

7. DEFINITIONS
Competition: The specific WREMO community event competition.
Disqualified Participant: WREMO personnel (including contractors) and their Immediate Family.
Entry has the meaning given in clause 2.1.
Immediate Family: Spouses, grandparents, parents, children, and grandchildren, whether by marriage, past marriages, remarriage, adoption, co-habitation or other family extension.
Personal Information: Any information about an identifiable person collected by or on behalf of Greater Wellington and includes, without limitation, name, age, email address, physical address, phone number, and (if needed) written confirmation of acceptance of these Competition Rules from the Winning Participant (which shall include that person’s name).
Participant: Any person submitting the Entry excluding Disqualified Participants.
Prizes or Prize: Winning Participants will receive a 200-litre water tank.
Third Party Sites: Any website other than managed or controlled by WREMO software as a service (SaaS) application, social media page or similar.
WREMO, we or our: means the Wellington Region Emergency Management Office.
